Workflow ROI calculator

Enter three numbers about a workflow you might automate. The calculator returns the annual dollars saved if the automation works at the success rate you assume, and the months to break even against a From $3,500 Agent Implementation Sprint. Formula visible below. No email gate, no accounts, results on the page.

Across everyone who touches it. If two people spend two hours each, that is four.

hrs/wk

Salary + benefits + overhead ÷ 2,000. A $75k role usually loads to $55–$65/hr; a $150k role to $110–$130/hr.

$/hr

The share of the work the agent does without needing a human to catch it. Default 85% is realistic for a first-shipped workflow with monitoring; raise it as you gather evidence.

How the calculation works

The formula is intentionally boring. There is no discount rate, no productivity multiplier, and no assumed rebound effect. Automation success rate is the one lever that moves the number the most, which is why it is exposed rather than baked in.

weekly_saved   = hours_per_week × hourly_rate × (success_rate ÷ 100)
annual_saved   = weekly_saved × 52
monthly_saved  = annual_saved ÷ 12
breakeven_mos  = 3500 ÷ monthly_saved

What this does not include: the cost of the reliability layer (monitoring, incident response, quarterly review) — that runs $5,000/month on a Fractional AI Officer retainer. A workflow that only saves $5,000/year should probably not be the first thing you automate. A workflow that saves $50,000/year at 85% success rate is a strong candidate.
